Introduction

Google Calendar has a lot of features and ways to help you automate your work! One of the great features that you can find and use easily is the ability to create appointment slots. These slots will help you easily manage your time and it will also make it easy for your colleagues to schedule meetings and appointments with you.

Appointment slots are useful when you don’t know who needs to meet with you, but you want to make yourself available. You can offer people a block of time on your calendar that they can book time slots within. For example, you can set aside 2 hours that you’re available to meet with people in 30-minute slots. Others can then book one of the 30-minute slots within that time that works best for them.

IMPORTANT UPDATE: As of 12th April 2021 all appointment slots createed will have Google Meets Automatically enabled. You do not need to enable this at any poin tin the set up process and the ‘Join with Google Meet’ option will be available for any requested appointment.

Setting up an Appointment slot in Google Calendar 

First of all, you will need to open your Google Calendar, please ensure you are accessing your work gmail as this feature is not available to personal google accounts.

Once you have accessed your Calandar navigate to the day in which you wish to set up your appointment block and select the block of time you wish to create the appointments.

Once you are done with setting the name and time, set the item type to be “Appointment slots”, you can set the duration of each appoinment slot, then click save.

You will notice the item has been created, but you are still one step away from making the slot available. Click on the newly created item, its details will open in a new small dialog, note the URL which will take you to the booking page of this calendar.

All you nowhave to do is to take the link of this appointments page and distribute it to those who you wish toi access the appointments. When they follow this link they will see this page..

This display shows the user your available time. All what they have to do here is pick the slot that is most appropriate to them and then book it. When anyone wants to book a slot with you they will be asked to type in more details such as a title, or a description for the agenda and so on.

Once they confirm they will receive an automatically accepted invitation from your calendar to confirm the booking.

As you see this is a very nice and easy way to make sure your time is well managed and that no conflicting or over-booking of appointments can happen.
